FAQs / Terms of Business

When you confirm you'd like to book me for a job, I will send out an electronic General Service Agreement which elaborates on a lot of the points below, explains what the deliverables are and each parties responsibilities. A standard document, I promise. If you have additional questions, please feel free to contact me.

How far in advance should I book your services for my project?

As advanced as possible. It's important that you pay a 50% deposit upfront to secure the booking day and time(s) otherwise it will not be held for you.

Can you provide a custom quote based on my specific needs?
Yes. Most of my quotes are custom created due to the varying needs from client to client. This is also the best way to make sure the quotation is mutually beneficial and competitive.


How long does it take to receive the final edited photos/videos?
Depending on the brief, the usual turnaround is within 2 weeks from capturing the content. If I can provide the content sooner, I will.

If however you are choosing the media before I edit, I will provide the unedited images via an online portal, wait until you select your images, and then start editing and the 2 week turnaround starts then.

Can I receive the images the next day of the event?
This entirely depends on whether you have given me advanced notice at the time of booking so I can make sure this is doable. If you let me know this requirement 48hours before or on the day of the event, depending on scheduling this will cost extra.

Do you offer retouching or editing services for photos/videos?
Yes, all images are given a standard post production edit so that they are ready for use when you receive them. If you want heavy editing for magazines, editorial headshots etc this is an additional cost.

Can I request specific styles or themes for my project?
Yes of course. Although this is a rarity. But if you have a preferred editing or capture style do let me know this in the creative brief that is provided prior to booking.

Are there any additional costs I should be aware of, such as travel expenses or equipment rentals?
All my quotations include travel expenses which are reasonable and upfront. Any additional costs are highlighted to the client prior to purchase.

Do you require a deposit or advance payment to secure my booking?
Yes a 50% non-refundable deposit is require to secure the booking. The final payment is to be made before the digital assets are delivered. I'll also ask you to complete a General Service Agreement online.

What happens if there is bad weather on the scheduled shoot day?
If the client is happy to continue and the weather will not effect the job at hand too much, then I'd be happy to proceed, after an honest conversation about the parameters. If however, it is agreed the weather is effecting the shoot we can certainly reschedule to a more appropriate time.  If the date cannot be rescheduled, I will make some recommendations on how we can work around the weather.

Are there any restrictions on how I can use the photos/videos once they are delivered?
After the photos/videos are delivered to you, you will have the right to use them for the purposes outlined in our agreement. Typically, this includes personal or commercial use depending on the nature of your project. However, there may be some restrictions on resale or redistribution of the images/videos without prior consent. We can discuss any specific usage rights or restrictions during our initial consultation to ensure they align with your needs and our terms of service.

Can I request revisions or additional edits after receiving the final photos/videos?
Videos have 1 amendment round included with the pricing and service. All amendments should be mentioned in that amendment round, if additional time is needed, it may be chargeable. 

Images, they do not have an amendment round and are delivered as is after the photographer as edited them professionally. If there are issues, of course please email info@kojicam.com

Do you provide both raw and edited files?
I only provided the edited files. If a client wants RAW images, this is doable at an additional cost of 10 times the quotation fee which is industry standard.

Are you insured in case of any accidents or damages during the shoot?
Yes, I have 10million Public Liability Insurance. If you require more, do let me know.

Are you DBS Checked?
Yes.

Do you offer packages for multiple shoots or ongoing projects?
Certainly, please let me know this is your intention at the time of a booking inquiry and we can find a good solution.

What is your cancellation or rescheduling policy?
Cancellations prior to the media day, will not receive the 50% deposit back as I would have lost out of a shoot.  If things can be rescheduled, we will find a way.  Rescheduling requires at least 3 days notice.

Kindly be advised that we retain the prerogative to cancel services on the scheduled day in the event that the photographer/videographer faces threats, encounters inappropriate conduct, or is subjected to requests compromising moral integrity, without any reimbursement of fees already remitted.

Ownership of intellectual property?

Essentially, all IP stays with the photographer and retains the nonexclusive, perpetual and worldwide right to display, reproduce and distribute the images and video on/in Koji Cam's portfolio and website, and third party trade publications, awards or exhibits, solely for the purpose of promoting or exemplifying Koji Cam work, and the right to be credited with copyright ownership and authorship of the images in connection with such use. There are more details about this in the General Service Agreement.

Do I need model release forms?
This will be the client's responsibility to ensure the correct model release forms are obtained.  If you are an event, display notices to confirm that media will be recorded and if anyone objects to let the media person know. Again this is in more detail in the General Service Agreement.
